Contractor Invoice Template: The Fields That Get You Paid

EZ Invoices Team
6 min read

Search "contractor invoice template" and you will find a pile of blank spreadsheets. A blank sheet does not get you paid. The useful version is a short list of fields you fill the same way every time, so the customer can tell what the job was, what it cost, and how to pay without calling you.

The fields that belong on every invoice

  • Your business name. The name they hired, plus a phone or email they can actually reach.
  • Invoice number and date. So this bill is not confused with the last one.
  • Customer name. And the job address, if the work was not at their mailing address.
  • What you did. Line items, not one lump sum called "work." Labor, materials, and anything else, each on its own line.
  • The total, and what is due now. If you bill in stages, say which stage this payment covers.
  • A due date. Today, on receipt, or a date you already agreed on. A bill with no date is easy to postpone.
  • How to pay. A link, a card option, or the method you already agreed on. One clear path.

What you can leave off

You do not need a logo to get paid, though a clean header helps them recognize the bill. You do not need a paragraph of legal terms on a one-day service call. You do not need every photo from the day — only the before, during, or after shots that explain the work. And you do not need bookkeeping fields. An invoice is a request for payment, not your books.

Start from the job, not from a blank page

A template that ignores your trade makes you invent line items in the driveway. Electrical work, plumbing, HVAC, painting, roofing, and landscaping do not share the same lines. Start from the kind of work you do, then change the descriptions and prices to match this job. The structure stays. The job does not get forced into someone else's spreadsheet.

In EZ Invoices you can build that first invoice before you create an account: pick the trade, edit the lines, and preview the real document. After you sign up, it is waiting in the builder so you can save it and send it. There is a free plan, and you do not need a card to start.
