Close Out the Job Before You Leave the Driveway

EZ Invoices Team
5 min read

The job is finished. The customer is standing in the driveway, happy with the work, and about to go back inside. That is the easiest moment you will ever have to get paid. Ten minutes later they are on a call, the truck is gone, and your invoice is a task they will get to later. Later is how a same-day payment turns into a two-week chase.

A close-out does not need a clipboard. It needs a short list you run every time, before the truck moves.

1. Shoot the after photo while you are still there

If you took a before photo when you arrived, take the matching after photo now. Same angle if you can. During photos help when you opened a wall, found rot, or changed the scope. You will not remember the framing next week, and the customer will not either.

2. Send the invoice before you say goodbye

Build it on your phone from the tailgate. Customer name, what you did, materials and labor as separate lines, tax if it applies, and a due date that is today or within a few days. A bill that arrives after you have left is easier to set aside than a bill you hand over while they can still see the finished work.

3. Put a way to pay in their hand

An invoice with no way to pay is a reminder, not a collection. Text or email the payment link while you are still talking. If you take cards, let them pay before you leave. If they pay by check or another method you already agreed on, say the amount and the due date out loud so it is not a surprise later.

4. Confirm any extra work in writing

If the job grew — a second fixture, rotten sheathing, an added shutoff — that change should already be written down and approved. Close-out is the last chance to catch a verbal "go ahead" that never made it onto the bill. Do not drive off hoping they remember.

5. Leave a note for the next visit

If you are coming back, write what is left, what you are waiting on, and what the next payment covers. Future you, standing in the same driveway, should not have to reconstruct the job from memory.

  • Photos. Before, during if it mattered, and after. Attach the ones the customer should see.
  • Invoice sent. Not a draft sitting on your phone.
  • Payment path. A link they can open, or a method you both already agreed on.
  • Extras approved. No unpaid change hiding in a text thread.
  • Next step written down. Only if the job is not actually finished.

In EZ Invoices that close-out is one phone session: add the job photos, mark them before, during, or after, attach the ones that belong on the bill, send the invoice by text or email, and let the customer pay from the link. The point is not the app. The point is that the money conversation happens while you are still in the driveway.
