Paint looks simple until the customer remembers a different color, a wall you did not prep, or a second coat they thought was included. The invoice should describe the rooms, the prep, and the materials well enough that the finished walls match what they approved.
Name the rooms, not just the house
List the rooms or surfaces in the scope: living room walls, ceiling, trim, exterior siding, one accent wall. A single line for the whole house hides what was included. If you price by area, say the area. If you price by the room, say the room. Either is fine. Mixing them without saying so is what creates the "I thought the closets were included" conversation.
Prep is part of the job, so show it
- Prep. Patching, sanding, caulking, masking, and primer. If prep is in the labor price, say that. If heavy repair is extra, it should have been approved before you did it.
- Coats. Primer plus how many finish coats, if that is how you sold the job.
- Paint. Material lines for the paint itself when you are billing materials. Sheen and color belong in the description if the customer chose them.
- What is not included. Furniture moving, wallpaper removal, or deck staining, if those were never in the price.
Color is a common fight because it is hard to remember. Write the color they approved on the estimate, and keep it on the invoice. A photo of the finished room, next to a before photo if the change is dramatic, gives them something to look at when they open the bill.
Send it when the rooms are done
Do not wait until you are back at the shop to describe which rooms you painted. Walk them once, confirm the scope matches the estimate, note any approved extra (a closet, a door, another coat), and send the invoice before you leave. If the job is large enough to bill in stages, say which rooms this payment covers.
EZ Invoices has a square-foot layout for area-based work and starter lines for painting, so you are not building the bill from a blank page. Edit the rooms and prices to match the job, attach the photos the customer should see, and send the link.
