How to Invoice a Roofing Job

EZ Invoices Team
6 min read

A roofing customer can see shingles from the street. They cannot see the decking, the underlayment, or the flashing you replaced. If the invoice is one line that says "new roof," every hidden repair becomes a debate. Break the job into the parts you actually did, and show the parts they cannot stand under and inspect.

Lines that match the work

  • Tear-off and disposal. If you hauled the old roof away, say so. If the price was by the square, say the area you priced.
  • Decking repairs. These are the classic surprise. They belong on a change order approved when you found the rot, then on the invoice as that approved extra — not folded quietly into the total.
  • Underlayment, flashing, and shingles or other covering. Materials separate from labor, so the material cost is visible.
  • Penetrations and extras. Vents, pipe boots, a skylight, gutter work. Only if they were in the job.

Do not front the whole roof

Roofing ties up materials money before the last shingle is on. A deposit that covers materials, then a final payment when the roof is done, is easier to explain than one invoice at the end after you have carried the job for a week. Agree on those stages before you order materials. On the invoice, say which stage they are paying.

Photos matter more on a roof than on most trades, because the customer may never go up. Before: the failed area. During: bad decking or missing underlayment, taken before you cover it. After: the finished roof. Attach the ones that explain the bill. A blurry shot of your ladder can stay off the invoice.

Insurance jobs need the same clarity

If an insurance company is involved, you still need the customer to understand what you did. Describe the scope in plain language, keep approved extras separate, and use a layout that fits restoration paperwork if that is how this job is being reviewed. This is not advice on claims. It is a reminder that a vague invoice slows everyone down, including you.

EZ Invoices has roofing starter lines, a progress-billing option for deposit and final payments, an insurance-style layout, and a place to attach before, during, and after photos. Change orders can be approved by the customer before the extra amount hits the balance due.
