Landscaping Invoice: Visits, Materials, and Cleanup

5 min read

Landscaping invoices go wrong in two directions. A one-day cleanup gets a vague total, and the customer is not sure if haul-away was included. Or a month of visits gets bundled into one number, and nobody can tell which weeks were done. Write the bill the way the work actually happened.

One visit or many

A single cleanup, planting day, or install can be one invoice: labor, materials, and haul-away as separate lines. Recurring mowing or maintenance is clearer as one invoice per visit, or as lines that name the dates. "October maintenance" with no dates is hard to reconcile when they think you skipped a week.

If you have not agreed on a standing schedule, do not invent one on the invoice. Bill the visits you made.

Separate the things they can see

  • Labor. Mowing, bed work, pruning, install time. Say what you did, not only the hours, unless hours are how you sold it.
  • Materials. Mulch, plants, stone, soil. Quantities help: yards of mulch, number of plants. A customer can look at the bed and see whether that matches.
  • Haul-away. If debris removal costs extra, it should be its own line, agreed before the trailer is full.
  • What you did not do. Irrigation repair, tree removal, or a second area of the property, if those were outside the visit.

Photos earn their place on outdoor work because the yard changes. A before photo of an overgrown bed and an after photo of the same bed make the invoice obvious. Take them from the same angle while you are still there. Next week's growth will not match today's "after."

Send it the day of the visit

A landscaping customer often is not home. That is fine. Text or email the invoice the same day, with the pay link, while the work is still in the yard for them to look at. A bill that arrives two weeks later, after a rain, is a bill they have to take on faith.

EZ Invoices includes landscaping starter lines you can edit for the visit, a place for the job address, and job photos you can attach to the invoice. Send it by email or text with a link they can pay from. It will not run your route or your crew schedule. It will get this visit billed.
