How to Invoice for Materials Without an Argument

5 min read

The argument is almost never "you used a valve." It is "I saw that valve for less at the store." They are comparing a shelf price to a number that includes your time to pick it up, the trip, the warranty risk, and the fact that you had the right part on the truck. If the invoice hides all of that inside one materials number, you will have this conversation on every job.

List the materials, not a lump

Name the parts. A faucet, a breaker, three yards of mulch, two gallons of paint. Quantities help when the customer can look at the work and count. "Materials" as a single line is fine only when the job is tiny and the amount is obvious. On anything larger, itemize.

Keep materials off the labor lines. Labor is the work. Materials are the things you installed. Mixing them makes both numbers look arbitrary.

If you mark materials up, decide that before the job

Some contractors bill materials at cost and make the money on labor. Some add a markup because sourcing, pickup, and returns take time. Either can be fair. What is not fair is surprising them. If your estimate said materials at a marked-up price, the invoice should match that method. If you told them cost plus, the invoice should not quietly become something else.

You do not have to print your supplier's invoice on the customer's bill. You do have to be able to explain the line. "Valve, installed" is an explanation. A number with no name is not.

Do not buy the extra parts before they agree

The materials fight gets worse when you already bought something they did not approve. If the job changes, price the extra materials and labor before you purchase them. An approved change order is the right place for that amount. The original materials stay on the original scope.

In EZ Invoices, material lines are separate from labor. You can set a markup on a material line, and the customer sees the line total rather than a mystery lump. Your supplier cost does not have to be the number on the invoice. The description does.
